Terms & Conditions — Photography Tours
By confirming a booking with Jack Firman Photography (JFP), you acknowledge and agree to the following Terms & Conditions.
1. Booking Terms
1.1 Registration
Participants may register via the website or through JFP’s official communication channels (email or WhatsApp).
The following information is required:
Full name (as per passport)
Nationality
Contact details (email & WhatsApp)
Selected tour and preferred dates
1.2 Booking Confirmation
A booking is considered confirmed only after a deposit (retainer) or full payment has been received and successfully verified.
All bookings are subject to availability and will be confirmed through JFP’s official communication channels.
1.3 Booking Status
Only confirmed and paid participants will be included in the final booking list.
We reserve the right to release unconfirmed reservations without prior notice.
2. Payment Terms
2.1 Deposit & Reservation
A deposit (retainer) is required to secure your place on the tour. The applicable amount will be specified within the selected package.
Participants may also opt to complete full payment at the time of booking.
2.2 Payment Process
Following registration, payment instructions will be provided via JFP’s official communication channels.
Payments must be completed via bank transfer in accordance with the provided details.
Participants are required to submit proof of payment upon completion of the transfer.
Please allow up to three (3) working days for payment verification and confirmation.
A booking is only considered confirmed once verification has been completed.
2.3 Remaining Balance
The remaining balance must be settled in full no later than 90 days prior to the commencement of the tour.
Failure to complete the payment by the due date may result in cancellation of the booking and release of the reserved spot. In such cases, the booking will be treated as a cancellation by the participant, and the deposit (retainer) will be handled in accordance with the cancellation policy outlined in Section 3.
2.4 Payment Security
All payments must be made exclusively to the official bank account provided by JFP.
JFP shall not be held responsible for any payments made to unauthorized or incorrect accounts.
Payment details will only be communicated through official channels.
3. Cancellation & Refund Policy
3.1 Cancellation Request
All cancellation requests must be submitted via the official Cancellation Request Form available on this website.

3.2 Transfer of Slot
Participants may submit a request to transfer their slot to another individual, subject to prior approval by JFP.
The replacement participant must meet all applicable requirements and complete the necessary registration and payment procedures.
Any costs arising from the transfer, including but not limited to administrative fees, price differences, or other associated charges, shall be borne solely by the participant.
Approval of a transfer does not guarantee any refund and does not override the cancellation policy outlined in this section.
3.3 Refund Conditions
Refunds, where applicable, are strictly subject to the cancellation timeline outlined in Section 3.4.
Any non-refundable costs already incurred — including but not limited to accommodation, transportation, permits, and other travel-related arrangements — may be deducted from the refundable amount or charged in full where applicable.
3.4 Cancellation Timeline
Refunds, where applicable, will be calculated based on the following timeline:
· 90 days or more prior to departure: 50% of the deposit (retainer) will be refunded
· 60–89 days prior to departure: 20% of the deposit (retainer) will be refunded
· Less than 60 days prior to departure: the deposit (retainer) is non-refundable
. This is applicable notwithstanding the Force Majeure in section 3.7
3.5 Refund Limitation
Cancellation of a booking does not entitle the participant to any refund beyond the terms stated in this section.
3.6 Cancellation by Organizer
JFP reserves the right to cancel the tour if the minimum number of participants is not met or due to circumstances that make the trip unfeasible to operate.
In such cases:
· A refund will be issued, excluding any non-refundable costs already incurred
· Participants will be notified in advance
JFP shall not be responsible for any external expenses incurred by the participant, including but not limited to flights, accommodation, or equipment.
Comprehensive travel insurance is strongly recommended.
3.7 Force Majeure
We are not liable for delays, changes, or cancellations caused by events beyond our control, including but not limited to:
Natural disasters
War or political unrest
Government restrictions
Extreme weather conditions
Other unforeseen circumstances
Refunds or rescheduling options will be considered based on the situation and recoverable costs.
3.8 Adjustment of Trip Cost
If the number of participants is below the standard group size and the trip proceeds, the tour cost may be adjusted accordingly.
3.9 Cancellation Processing Time
All cancellation requests will be reviewed, and a response will be provided within 1–3 working days.
4. Participant Responsibility
Participants are responsible for:
Ensuring they are physically and mentally fit for the tour
Preparing all required travel documents (passport, visa, insurance)
Safeguarding personal belongings, including camera equipment
5. Travel Insurance
Travel insurance is strongly recommended and should include:
Trip cancellation
Medical emergencies
Personal belongings and equipment
JFP is not responsible for any losses, damages, or expenses incurred during the tour.
6. Itinerary Changes
The itinerary may be adjusted due to weather conditions or local circumstances.
Any changes will be made with the intention of maintaining the overall quality and experience.
7. Use of Images
JFP reserves the right to use photos or videos taken during the tour for promotional purposes.
Participants who do not wish to appear must inform us in advance.
8. Conduct
Participants are expected to behave respectfully toward others, local communities, and the environment.
JFP reserves the right to remove any participant whose behavior is disruptive or unsafe, without refund.
