Terms & Conditions — Photography Tours

By booking a photography tour with Jack Firman Photography (JFP), you agree to the following terms and conditions.

1. Booking Terms

1.1 Registration

Participants may register through the website or via our official communication channels (email or WhatsApp).

Required information includes:

  • Full name (as per passport)

  • Nationality

  • Contact details (email & WhatsApp)

  • Selected tour and date

1.2 Booking Confirmation

A booking is considered confirmed once a deposit or full payment has been received and verified.

All bookings are subject to availability and will be confirmed through our official communication channels.

1.3 Booking Status

Only participants who have completed payment and received confirmation will be included in the final booking list.

We reserve the right to release unconfirmed reservations without prior notice.

2. Payment Terms

2.1 Deposit & Reservation

A non-refundable deposit of USD 700 is required to reserve your spot.

Participants may also choose to make the full payment at the time of booking.

2.2 Payment Process

After registration, payment instructions will be provided via our official communication channels.

Payments must be completed via bank transfer according to the details provided.

Participants are required to send proof of payment after completing the transfer.

Please allow up to 3 working days for payment verification and confirmation.

Bookings are only confirmed once verification has been completed.

2.3 Remaining Balance

The remaining balance must be paid in full no later than 90 days before the start of the trip.

Failure to complete the payment by the due date may result in cancellation of the booking and forfeiture of the reserved spot.

2.4 Payment Security

All payments must be made only to the official bank account provided by us.

We are not responsible for any transfers made to unauthorized or incorrect accounts.

Payment details will only be shared through our official communication channels.

3. Cancellation & Refund Policy

3.1 Cancellation Request

All cancellation requests must be submitted through the official Cancellation Request Form available on this website.

Alternatively, confirmation may be made via:

3.2 Transfer of Slot

Participants may transfer their slot to another person.

Refund eligibility depends on whether the slot can be filled by a replacement participant.

3.3 Refund Conditions

  • If your slot is successfully filled, a refund may be issued depending on the timing of cancellation.

  • If your slot is not filled, no refund will be issued.

Refund amounts and applicable fees depend on how far in advance the cancellation is made.

3.4 Cancellation Timeline

More than 40 days before departure:

If your slot is filled by another participant, we will refund your payment minus:

  • Payment processing fees

  • Administrative fee of USD 100

  • Service provider costs already incurred

  • Costs related to reselling the slot

If your slot remains unfilled, no refund will be issued.

3.5 Unfilled Slot Policy

If no replacement participant is found, no refund will be issued regardless of the cancellation date.

3.6 Cancellation by Organizer

We reserve the right to cancel the tour if the minimum number of participants is not met.

In such cases:

  • A full refund (100%) will be issued

  • Participants will be informed in advance

We are not responsible for external expenses such as flights, accommodation, or equipment.

Travel insurance is strongly recommended.

3.7 Force Majeure

We are not liable for delays, changes, or cancellations caused by events beyond our control, including but not limited to:

  • Natural disasters

  • War or political unrest

  • Government restrictions

  • Extreme weather conditions

  • Other unforeseen circumstances

Refunds or rescheduling options will be considered based on the situation and recoverable costs.

3.8 Adjustment of Trip Cost

If the number of participants is below the standard group size and the trip proceeds, the tour cost may be adjusted accordingly.

3.9 Cancellation Processing Time

All cancellation requests will be reviewed, and a response will be provided within 1–3 working days.

4. Participant Responsibility

Participants are responsible for:

  • Ensuring they are physically and mentally fit for the tour

  • Preparing all required travel documents (passport, visa, insurance)

  • Safeguarding personal belongings, including camera equipment

5. Travel Insurance

Travel insurance is strongly recommended and should include:

  • Trip cancellation

  • Medical emergencies

  • Personal belongings and equipment

JFP is not responsible for any losses, damages, or expenses incurred during the tour.

6. Itinerary Changes

The itinerary may be adjusted due to weather conditions or local circumstances.

Any changes will be made with the intention of maintaining the overall quality and experience.

7. Use of Images

JFP reserves the right to use photos or videos taken during the tour for promotional purposes.

Participants who do not wish to appear must inform us in advance.

8. Conduct

Participants are expected to behave respectfully toward others, local communities, and the environment.

JFP reserves the right to remove any participant whose behavior is disruptive or unsafe, without refund.
